Front Office Coordinator
We are seeking a highly motivated, dynamic, Workplace Experience Coordinator to join our People team in Richmond, Virginia. This person will be responsible for the day to day operation, facilities management and administration for our Richmond Customer Experience Center. This role requires exceptional customer service and extensive communication, project coordination, organizational, and collaborative skills. This position is expected to be on site full time (5 days a week) in our Richmond, Virginia office. You must successfully clear a background check to meet state licensing requirements.
Primary responsibilities include
● Maintain a polished and inviting front office by greeting guests and employees, and directing visitors.
● Continually refine and implement front desk guidelines and systems to enhance efficiency and elevate our hospitality standards.
● Ensure the overall office appearance reflects our brand and culture, while proactively identifying opportunities to improve the workplace experience.
● Serve as the primary point of contact for employee inquiries and facilities related issues, ensuring prompt and professional resolutions.
● Coordinate the setup and breakdown of meeting rooms as necessary.
● Oversee the inventory and ordering of office supplies, and equipment including café supplies.Manage incoming and outgoing mail and packages.
● Organize incoming and outgoing mail and package delivery.
● Organize and manage weekly catered lunches, including menu selection, scheduling, order placement, setup and cleanup.
● Develop and maintain strong relationships with vendors and building management, including engineers, cleaning staff, contractor and catering services.
● Monitor security protocols including the WEX ticketing system and visitor list to ensure the safety of our workplace.
● Process invoices for payment in a timely and accurate manner.
● Collaborate with onsite IT support as necessary for events and day to day operational needs.
● Partner with the Richmond Workplace Experience supervisor to plan and execute creative events, special projects and operational needs.
● Provide support for individual CX teams and work alongside the Customer Experience Project Manager to coordinate on-site activities and initiatives.

● Proficiency with Microsoft Office Suite and Google Workplace

● Strong problem solving skills
● Ability to thrive in a fast paced environment
